This presentation outlines the administrative policies and code of conduct that all employees are expected to follow while working at our company. These guidelines are designed to create a productive, organized, and respectful workplace environment for everyone.

General Code of Conduct

Energy Conservation

Turn off all electric/electronic appliances when not in use, including all lights and fans in workstations, common areas, and washrooms.

Meal Protocol

Have lunch at your respective workstations. Use of Cabins, Lunch Room, or Pantry for lunch is prohibited. Keep food items, especially liquids, away from electronic assets.

Cleanliness

Clean your desk immediately after finishing your lunch. Report any odors to the Admin team for room freshener application.

Additionally, all employees must adhere to the Mobile Usage protocol as detailed in the HR Policies. These guidelines ensure a professional workplace atmosphere and protect company resources.

Handling Assets & Personal Belongings

Screen Security

Lock your screen every time you step away from your workstation.


Asset Management

Never leave allocated assets unattended. Store them properly in designated drawers or spaces.


Workspace Organization

Keep workstations clean and clutter-free. Store bags/helmets in designated areas only.


Valuables Storage

Keep valuables like cash, cards, wallets, and mobile devices at your workstation, not in bags. Use your drawer space appropriately.

Air Conditioning Guidelines

Standard Temperature

ACs operate at the optimal temperature of 25 degrees Celsius to balance comfort and energy efficiency.

Seasonal Operation

ACs are only operational during summer months after official announcement from the Admin Team.

Operating Hours

ACs run between 11 AM and 6 PM on Auto/Energy Saver mode to maximize efficiency.

Troubleshooting Protocol

Report AC issues immediately to Admin. Do not attempt to fix problems yourself or adjust settings without authorization.

AC remotes are managed exclusively by the Admin team. Please do not request remotes from housekeeping staff, office assistants, or other team members.

Use of Cabins for Meetings/Trainings

Cabins are restricted spaces that require proper authorization for use.

Use of cabins is strictly prohibited unless specifically assigned by the Admin or HR team for a training or meeting purpose.

This policy ensures that private meeting spaces are available when needed for confidential discussions and scheduled events.

Conference Room Usage Guidelines

The Conference Room can only be used if:

Primary Spaces Occupied

All other Meeting Rooms and Cabins are already in use

Urgent Meetings

An unavoidable meeting is scheduled immediately and other areas are occupied

Large Groups

For group trainings or meetings with more than 4 attendees

For booking process and approval, refer to the "Book Your Space" protocol on the next slide.


Book Your Space: Reservation Process

Follow the "Book Your Space" protocol to ensure appropriate allocation of meeting spaces for all organizational needs.

Required Information

  • Nature of Request (Client Meeting/Team Meeting/Training/Other)
  • Purpose of the meeting
  • Number of Attendees and Facilitator
  • Date and Time
  • Duration (20-minute maximum buffer time for extensions)

Submission Process

Email the required information to both HR and Admin teams:

  • 3-4 hours prior to requirement (minimum)
  • One day in advance is preferred when possible
  • Confirmation will be sent based on availability
